FAQ
Frequently Asked Questions
Everything about bookings, planning, revisions, delivery and payments.
What services do you provide?
We provide photography, video production, graphic design, copywriting, social media content planning, campaign visuals and selected content management services.
Our services can be tailored for brands, events, properties, products, sports, automotive, retail, beauty, lifestyle and corporate campaigns.
How do we get started?
Please send us your project brief, preferred date, location, objectives, target audience and required deliverables.
We will review the scope, prepare a quotation and confirm the project timeline before work begins.
Do you work with clients outside Malaysia or overseas?
Yes. We can provide services for overseas and outstation projects, subject to project requirements, production arrangements, travel requirements and team availability.
Additional charges may apply for overseas or outstation projects, including travel, accommodation, transportation, local crew, equipment rental, permits, insurance, logistics and other location-related costs.
All overseas or outstation charges will be reviewed and quoted separately before confirmation.
Can we book standalone services, ongoing content support or a customised package?
Yes. We provide standalone services, combined solutions and customised packages based on your project requirements, goals and budget.
This may include photography, video production, editing, graphic design, copywriting, campaign visuals, social media content planning and selected ongoing content support.
For tailored service combinations, we can prepare a customised proposal based on your preferred deliverables, timeline and production needs.
How much planning time is required before a shoot?
As a standard guideline, a minimum of 7 working days is required for project planning before the confirmed shoot or production date.
The planning period will only begin after the required first payment has been received and all necessary project information, brief, location details, deliverables and client requirements have been provided.
For larger projects, campaigns, multi-location shoots or projects involving multiple crew, talents, tenants or third-party bookings, a minimum of 14 working days may be recommended.
Projects confirmed with less than 7 working days before the shoot date may be treated as rush projects and may be subject to additional rush fees.
Are third-party production costs included in the quotation?
Where required, third-party production costs will be clearly stated in the quotation.
These may include equipment rental, studio or venue rental, talent, transportation, accommodation, props, styling, specialised crew, external editors, licensing fees or other production-related services.
Any third-party cost that must be confirmed before production may require advance payment before booking is made.
How many revisions are included?
The number of revisions included will be clearly stated in the quotation or project proposal.
Additional revisions, changes outside the confirmed scope or new requests after approval may be charged separately.
How long will the project take?
Project timelines depend on the confirmed scope, production requirements, client feedback, revision rounds and third-party arrangements.
Once the project scope has been confirmed, we will provide a clear production and delivery timeline.
When will final files be delivered?
Delivery timelines depend on the confirmed scope, production requirements, client feedback, revision rounds and third-party arrangements.
As a general guideline: edited photos will typically be delivered within 7 working days after the shoot or production date; short-form videos of approximately 1-3 minutes will typically have the first draft submitted within 7 working days; videos of approximately 5-10 minutes may take up to 14 working days, depending on project size, complexity, editing requirements and revision process.
Final files will be delivered after the project has been completed, required approvals have been confirmed and all outstanding payments have been settled.
The final delivery format, quantity, timeline and included files will be clearly stated in the quotation or project proposal.
Do you offer urgent or rush projects?
Rush projects may be accepted depending on team availability, production requirements and third-party availability.
Rush fees may apply when accelerated planning, priority production, urgent editing or faster delivery is required.
As a general guideline, rush fees may range from 30% to 100% of the project fee, depending on the urgency and complexity of the project.
Same-day delivery, next-day delivery, overnight editing, weekend work or public holiday work may be subject to higher rush fees.
The final rush fee will be confirmed in the quotation before work begins.
Can the project scope change after confirmation?
Any request outside the confirmed quotation, including additional deliverables, extra filming days, new design directions, extra revisions, additional locations or extended editing requirements, may be treated as a variation.
Any variation will be reviewed, quoted separately and approved before additional work continues.
Do you provide raw footage, raw files or source files?
No. HiHi Media does not provide raw footage, unedited photos, project files or working files as part of the standard service.
Only the final edited and approved deliverables stated in the quotation or proposal will be delivered to the client.
Editable source files, design working files or special file handover requests are not automatically included and will only be considered if agreed in writing before the project begins.
What happens if a project is cancelled or postponed?
Clients may request cancellation within 48 hours of deposit payment, provided that no work has commenced and no third-party booking or supplier commitment has been confirmed.
If a project is cancelled after the 48-hour grace period, 15% of the total project fee may be retained from the deposit already paid as a non-refundable booking, planning and team availability fee.
Where possible, clients may request one postponement within 60 days, subject to team and supplier availability.
Who owns the final content?
Once full payment has been received, the client will receive the agreed usage rights for the final delivered content.
HiHi Media may retain the right to showcase completed work for portfolio, website, social media, proposal, case study or promotional purposes unless otherwise agreed in writing.
What is your payment policy?
Payment terms are determined based on the project scope, production requirements, timeline and overall project complexity.
Depending on the project, payment may be structured in stages, such as 50% upfront deposit, 30% Stage 2 deposit and 20% final payment; 60% upfront deposit and 40% final payment; or 70% upfront deposit and 30% final payment.
The applicable payment schedule, payment milestones and delivery terms will be clearly stated in the quotation or project proposal before work begins.
Work, production bookings and project scheduling will only begin once the required first payment has been received.
