1. Project Confirmation
A project is only confirmed after the required first payment or deposit has been received.
Dates, crew, production schedule, editing schedule, design schedule and delivery timeline will only be reserved after payment confirmation.
Any verbal discussion, enquiry, quotation request or proposal review does not confirm the project until payment has been made.
2. Planning & Project Preparation
A minimum of 7 working days is required for project planning before the confirmed shoot or production date.
The planning period will only begin after the required first payment has been received and all necessary project information, brief, location details, deliverables, timeline, references and client requirements have been provided.
For larger projects, campaigns, multi-location shoots, projects involving multiple crew, talents, tenants, third-party suppliers or more complex production requirements, a minimum of 14 working days planning time is recommended or may be required.
Projects confirmed with less than 7 working days before the shoot date may be treated as rush projects and may be subject to additional rush fees.
As a general guideline: less than 7 working days may be subject to an additional 30% rush fee; less than 3 working days may be subject to an additional 50% rush fee; same-day, next-day or overnight planning may be subject to an additional 100% rush fee.
HiHi Media will not be responsible for delays, reduced preparation time, limited creative development, crew availability issues, supplier limitations or production restrictions caused by late confirmation, late payment, incomplete information or last-minute client changes.
3. Overseas & Outstation Services
HiHi Media may provide services for overseas and outstation projects, subject to project requirements, production arrangements, travel requirements and team availability.
Additional charges may apply for overseas or outstation projects, including travel, accommodation, transportation, local crew, equipment rental, permits, insurance, logistics, foreign transaction costs, currency exchange differences, production handling and other location-related costs.
Any overseas, outstation or location-related cost will be reviewed and quoted separately before the project is confirmed.
The client may be required to pay confirmed travel, accommodation, booking, permit or third-party costs in advance before arrangements are made.
4. Third-Party Costs
Third-party costs are not automatically included unless clearly stated in the quotation.
These may include equipment rental, studio rental, venue rental, location fees, talent, models, makeup artists, stylists, props, transportation, accommodation, specialised crew, external editors, licensing fees, music licensing, stock assets or other production-related costs.
Any third-party cost that needs to be booked before production may require advance payment from the client before booking is made.
Once third-party bookings are confirmed, these costs may not be refundable.
5. Project Scope
The confirmed project scope will be based on the quotation, proposal, invoice, written agreement or approved project brief.
The project scope may include deliverables, shooting hours, editing requirements, design quantity, revision rounds, delivery format, usage rights, timeline and production requirements.
Any request outside the confirmed scope may be treated as additional work and may be quoted separately.
This may include additional filming days, extra locations, extra deliverables, new design directions, additional edits, extra revisions, extended editing work, different formats or new client requests after confirmation.
6. Revisions
The number of revisions included will be stated in the quotation or proposal.
Revisions must be based on the confirmed project direction and agreed scope.
Additional revisions beyond the included revision rounds may be charged separately.
Major changes after approval, changes to the original direction, new requests, extra deliverables or rework caused by incomplete client information may also be charged separately.
7. Client Feedback & Approval
Clients are required to provide feedback clearly and within the agreed review period.
Delayed feedback may affect the final delivery timeline.
Once the client approves a draft, design, edit or final version, any new changes after approval may be treated as additional work.
HiHi Media will not be responsible for delays caused by late feedback, incomplete information, unclear instructions, delayed approvals or changes in client direction.
8. Delivery Timeline
Delivery timelines depend on the confirmed scope, production requirements, client feedback, revision rounds and third-party arrangements.
As a general guideline, edited photos are usually delivered within 7 working days after the shoot or production date.
Short-form videos of approximately 1-3 minutes usually have the first draft submitted within 7 working days.
Videos of approximately 5-10 minutes may take up to 14 working days or more, depending on project size, complexity, editing requirements and revision process.
Final delivery timeline will be stated in the quotation or proposal.
Final files will only be delivered after the project is completed, required approvals are confirmed and all outstanding payments have been settled.
9. Rush Projects
Rush projects may be accepted depending on team availability, production requirements and third-party availability.
Rush fees may apply when accelerated planning, priority production, urgent editing, fast delivery, weekend work, public holiday work or overnight work is required.
As a general guideline, rush fees may range from 30% to 100% of the project fee, depending on urgency and complexity.
Normal Rush: additional 30% for faster delivery than the standard timeline, but with reasonable working time.
Urgent Rush: additional 50% for projects requiring delivery within 24 to 72 hours, priority editing or urgent scheduling.
Extreme Rush: additional 100% for same-day delivery, next-day delivery, overnight editing, last-minute booking, weekend/public holiday rush work or when other projects need to be paused.
The final rush fee will be confirmed in the quotation before work begins.
10. Cancellation & Postponement
Clients may request cancellation within 48 hours of deposit payment, provided that no work has started and no third-party booking or supplier commitment has been confirmed.
If a project is cancelled after the 48-hour grace period, 15% of the total project fee may be retained from the deposit already paid as a non-refundable booking, planning and team availability fee.
If production work, design work, editing work, pre-production, planning, crew booking, equipment rental, travel arrangement, third-party booking or supplier commitment has already started, additional costs may also be chargeable.
Where possible, clients may request one postponement within 60 days, subject to team and supplier availability.
Postponement is not automatically guaranteed and must be approved by HiHi Media.
Any additional cost caused by postponement, including crew rescheduling, travel, accommodation, equipment rental, venue cost or third-party supplier charges, may be charged to the client.
11. Shooting Day & Client Responsibility
The client is responsible for ensuring that the shoot location, venue access, permissions, products, talents, outfits, props and required materials are ready before the shoot.
Any delay caused by location issues, late arrival, missing products, unprepared talent, venue restrictions, weather, access issues or client-side changes may affect the shoot schedule and final deliverables.
If the shoot exceeds the confirmed working hours, overtime fees may apply.
If the project requires permits, venue approval, brand approval or third-party permission, the client is responsible for arranging these unless otherwise agreed in writing.
12. Weather, Venue & External Conditions
For outdoor shoots, bad weather or unsafe conditions may affect production.
HiHi Media will discuss possible solutions with the client, such as rescheduling, changing location, adjusting the shot list or continuing with available conditions.
HiHi Media is not responsible for limitations caused by weather, venue restrictions, mall rules, security rules, public crowd, lighting limitations, noise, unavailable locations or other external factors outside our control.
13. Raw Footage, Source Files & Working Files
HiHi Media does not provide raw footage, unedited photos, project files or working files as part of the standard service.
Only the final edited and approved deliverables stated in the quotation or proposal will be delivered to the client.
Editable source files, design working files or special file handover requests are not automatically included and will only be considered if agreed in writing before the project begins.
HiHi Media reserves the right to withhold raw footage, raw files, project files, source files and working files unless a separate written agreement has been made before the project begins.
14. Copyright & Usage Rights
Once full payment has been received, the client will receive the agreed usage rights for the final delivered content.
Usage rights may be limited to the agreed platform, duration, territory, campaign, brand or purpose stated in the quotation or proposal.
The client may not resell, redistribute, edit, modify, transfer or use the content beyond the agreed scope without written approval from HiHi Media.
HiHi Media may retain copyright, working files, raw files, project files and creative ownership unless otherwise agreed in writing.
15. Portfolio & Promotional Use
HiHi Media may use completed work for portfolio, website, social media, proposal, company profile, case study or promotional purposes unless otherwise agreed in writing.
If the project is confidential, the client must inform HiHi Media before the project begins.
Confidential projects, private events or sensitive materials can be discussed separately.
16. Social Media Management
For selected clients, HiHi Media may provide social media management services.
The scope may include content planning, captions, posting, content calendars, campaign coordination and basic community support.
The exact scope, number of posts, platforms, management period, approval process and responsibilities will be stated in the proposal.
HiHi Media is not responsible for platform algorithm changes, account restrictions, paid ad performance, follower growth, sales results or engagement results unless specifically agreed in writing.
17. Design, Content & Brand Accuracy
The client is responsible for providing correct brand information, logos, product details, pricing, spelling, legal disclaimers, promotion details and campaign information.
HiHi Media will not be responsible for errors caused by incorrect or incomplete information provided by the client.
Clients must check and approve all details before final delivery or publishing.
18. File Storage
HiHi Media may store project files for a limited period after final delivery.
Long-term storage is not guaranteed unless agreed in writing.
Clients are responsible for downloading, saving and backing up final files after delivery.
If files need to be retrieved after a long period, retrieval may depend on availability and may be subject to additional fees.
19. Confidentiality
Both parties agree to keep confidential information private.
Confidential information may include project details, pricing, client information, campaign plans, unreleased products, business information, creative direction and internal documents.
HiHi Media will not share confidential client information publicly unless approved or unless the information is already publicly available.
20. Limitation of Liability
HiHi Media will make reasonable efforts to deliver the project professionally according to the confirmed scope.
However, HiHi Media will not be responsible for losses caused by client delay, incomplete information, third-party issues, platform issues, weather, venue restrictions, supplier problems, force majeure events or circumstances outside our control.
HiHi Media liability shall not exceed the amount paid by the client for the specific project.
21. Payment Terms
Payment terms are determined based on the project scope, production requirements, timeline and overall project complexity.
Depending on the project, payment may follow one of the structures below:
Option 1: 50% upfront deposit, 30% Stage 2 deposit and 20% final payment.
Option 2: 60% upfront deposit and 40% final payment.
Option 3: 70% upfront deposit and 30% final payment.
The upfront deposit is required to confirm the project and reserve the production date.
The Stage 2 deposit, where applicable, must be paid before the next production stage, editing stage, design stage or project continuation.
Final payment must be completed before final files, high-resolution assets, editable files, source files or full usage rights are released.
Work, production bookings and project scheduling will only begin once the required first payment has been received.
22. Agreement
By confirming the project, making payment or allowing work to begin, the client confirms that they have read, understood and agreed to these Terms & Conditions.
Any special arrangement, exception or additional agreement must be stated in writing and confirmed by both parties.
